Our team of pre- and post- award research administrators, communications professionals and education experts can assist anyone on campus with energy related research opportunities and interdisciplinary grant proposals.

Pre-award Research Administration

The WEI Administrative Services office provides full service pre-award administration. We will thoroughly read and interpret Funding Opportunity Announcements, work with you to create (and stick to) a submission timeline, outline proposal requirements, coordinate non-technical pieces, advise on budget building, and shepherd your proposal through the UW and Sponsor submission process.

Four Weeks + Developing your core argument/message:
  • Strategic consultation to discuss how best to position the proposal, how to increase chances of winning.
  • Draft a one-page document outlining your proposal’s core argument or message, a touchstone for your use in drafting the proposal and for other persons contributing content to the proposal.
  • Provide you upfront with any boilerplate language (on WEI, for example) that might be of use to you.

Three Weeks Developmental editing (of writing and graphics):
  • Higher level editing that can include: re-organizing proposal, re-focusing argument or message, attention to structure and emphasis, adjusting style where necessary, checking to see if proposal addresses everything in the FOA, suggesting additional content that may strengthen your case, feedback on and edits to the proposal’s use of visuals.

Two Weeks Light developmental editing (of writing and graphics):
  • Edits to organization within paragraphs and sections, adjusting style (maintaining cohesiveness), checking to see if proposal addresses everything in the FOA, suggesting additional content that may strengthen your case, edits to the proposal’s use of visuals.

One Week Copyediting: Line by line edits to check grammar, spelling, usage, consistency, and to enhance flow and readability.

Broader Impacts Consultation

As you're working through the process of submitting a grant proposal, the Educational Programs team is happy to provide assistance in thinking about broader impacts components (both formal and informal education, classroom materials development, research experiences for teachers and/or undergraduates...).

Campus Services

Our team can assist anyone on campus with arranging a tour of our facilities, hosting a meeting, or developing stories about energy research, education and outreach. 

Media Relations

As part of our mission to enhance understanding of energy issues, our communications team works to tell the stories of energy at UW-Madison. We can help you promote your work by crafting and distributing news articles via our website and social media channels, including your news in our monthly e-newsletter, and pitching interesting stories to media. We work closely with unit and campus communications professionals to ensure optimal coverage of your energy related research, outreach or student activities. Our team can also arrange media training.

Arrange a Tour or Host an Event or Meeting at WEI

Request Travel and Event Funds

The WEI has travel and event grant funds available to support UW-Madison cooperative research for initiatives related to energy. Funds must be used to support meetings, workshops or collaborator travel. To be eligible, the research must relate to issues that impact carbon-neutral energy technologies and policies, including those for solar, wind, geothermal, bioenergy, and energy storage.

Examples of items supported by WEI Travel and Event funds:

  • On campus workshops designed to bring together energy working groups.
  • Meeting facilitation for complex grant proposals. 
  • Travel to or bringing in out-of-state collaborators to work on a specific energy topic area.
  • Support for student attendance at relevant energy conferences.

Eligibility:
Each request must clearly identify the benefits to expanding energy research at UW-Madison in the specific topical area, have at least one faculty member involved (as primary requestor or mentor), and have a plan that expends the awarded annual funds within the current fiscal year (funds available expire annually).

Current WEI PI Services

Researchers and projects housed within the WEI receive a suite of crosscutting services that effectively support discovery by streamlining administrative processes and creating dynamic project management solutions.

Post-award Research Administration

After your award is granted, we will liaise with RSP and COE Research Division to facilitate award negotiation and setup, as well as act as an administrative contact for the Sponsor. We will help track and complete reporting, compliance, and contracting requirements associated with your award.

The WEI Administrative Services office supports the financial administration of the Wisconsin Energy Institute and the monies that support Energy research on campus. We have experience managing federal, state and local funds as well as WARF funds, revenue generating operations and unrestricted funds. Our office process p-card purchases, internal billings, purchase orders, payroll transactions and budget management. We reconcile monthly against the University accounting system (WISDM) and produce financial reports to assist Principle Investigators with forecasting and fund management. We also provide assistance with pre-travel arrangements and approvals, as well as e-reimbursement creation, review and approvals.

Human Resources

WEI Human Resources assists and supports the Institute in all aspects of employment and human resources management for our faculty, academic, classified, postdoctoral, limited, graduate assistant and undergraduate student hourly employees. We manage the entire employment process -- from recruitment, hiring and employee orientation to departure and off-boarding. Our office processes all payroll and funding changes for the Institute, monitors performance evaluations, and is the primary contact for employee benefit questions, rate and title change requests, performance issues, employee grievances, worker's compensation and employment visas for international workers.

Information Technology Support

The Information Technology group implements and supports technologies utilized by the WEI Members, and associated grants. From basic help desk support, to advanced storage and compute resources, we offer a variety of services to help with your research and computing needs.

Marketing and Communications Support

For WEI Members, we offer a wide array of services to help spread the word about energy research and activities at UW-Madison. Our group stewards the Wisconsin Energy Institute brand, creates content and facilitates engagement opportunities that showcase our collaborative approach to solving energy challenges. We can help you with media relations, graphics and multimedia, events and content creation.

Events Planning & Management

Our events coordinator handles events planning and logistics. We can help with room reservations (at WEI or elsewhere on campus), A/V, catering, event promotion and registration. Notify Stacy Banks early in your planning process so she can handle the details. Stacy also serves as point person for guests and tour groups visiting the WEI. Please contact her to request a guided tour or a welcome message for your group.

Curriculum Development

Educational Programs helps prepare future citizens and energy leaders by developing K-16 classroom materials that are based on the research of WEI, grounded in our current best knowledge of learning and teaching, and vetted by educators in classrooms. They also offer professional development programs for educators, and research experience for undergraduates.
